Benefits of Internet Fax
Conventional fax methods only employ traditional PBX lines. With Xifax Internet Fax, traffic is routed from a secure Internet connection to Xifax's Virtual Private Network (VPN) before terminating at a customer's fax machine. This is much more time- and cost-efficient, as well as convenient. Users can send and receive documents directly from a laptop or the desktop without having to manually print out and fax the document from the machine's physical location. With Xifax Internet Fax, customers no longer need to purchase and maintain hardware, software, PBX ports, phone lines, and supplies for conventional fax machines or fax servers. Xifax offers users the convenience of sending faxes as easily as they send email.
Security
Yes, Xifax Internet Fax Service is HIPAA (Health Insurance Portability and Accountability Act) compliant. By deploying Xifax fax service, your organization can dramatically increase operational efficiency and improve the vital exchange of information.
Emails are destroyed as soon as confirmations are successfully delivered. Documents are internally encrypted and cannot be viewed by Xifax personnel. Also, document delivery is protected using Virtual Private Network (VPN) technology. Therefore it is private and secure.
The Xifax network is protected through firewalls on packet and application levels. Documents within the Xifax network are protected with a symmetric cipher for privacy and confidentiality. Transmissions over the public Internet to our remote location is protected using VPN technology based on IPSEC, the recognized standard for VPN technology. Upload/download of documents are protected using TLS for email or SSL when using HTTP. As a result, the complete transmission is much more secured than PSTN (Public Switched Telephone Network) security.

Send and Receive File Formats
Xifax supports a series of formats such as MS Word documents, HTML, PDF, XLS, PPT, IPG, GIF, EMP and others.
You can view the document immediately by simply double-clicking on the TIFF/PDF file, which will then open directly in your browser window. The document can also be saved, if desired.
The fax attachment is opened in the same way as any other email attachment your receive. If you cannot see the attachment within your email just save the attachment then open the attachment to view it.
A received fax can be forwarded just like any other email you receive.
The maximum number of pages a user can receive is 255 pages. Even though this page limit is very generous some users have trouble receiving large documents because their email inbox could be full.
Your document viewer will typically enable you to rotate an image.
If you receive a tiff file format attachment, use your imaging software to view all the pages.
Xifax does not analyze the content of any fax, therefore is unable to advise the sender of the error. If the caller ID is available in the subject of the email, you may contact and advise the sender that their fax transmission has been misdirected.
Xifax may be able to resend your received faxes for up to 72 hours. If you cannot locate or have deleted some of your received faxes, you may request copies by emailing the Xifax Support Team. You can also ask assistance on our live chat. Online 24x7x365.
Faxes can be delivered to up to three separate email addresses simultaneously. If your email addresses change, Xifax will send faxes to both addresses until the changeover is complete. Simply contact the Xifax Support Team.
Yes, there are different ways to broadcast faxes. Faxes can be sent to an email list using your Outlook address book, or by using mail merge to send customized faxes to multiple recipients. To fax using your address book, you can add fax addresses to the "Recipients List" and your email address book just like a regular email. Be sure to separate fax recipients with a semicolon.

Yes, with Xifax’s email to fax service you can combine both fax number and email delivery types in the same message. A user would simply address them just as you would multiple email addresses in the “To:” field of the message. Example: To: 15551234567@xifax.net; John.doe@xifax.com
Unfortunately, the fax transmission is almost instantaneous, and by the time a person decides to cancel, faxes have usually already sent.
As you would a regular email - any information that is typed in the “Subject” line of the email will be placed in the “Subject” line of the fax cover page.

Yes, you can use a cover page attachment if desired. Just make sure that there is NO text (including automatic signatures) in the body of the email and attach your cover page as the first attachment.
A cover page is generated when there is any text whatsoever in the body of the email, including a space or a period. Even if the user did not enter anything, an automatic signature can activate the cover page.

You will be notified via email if one of your attachments is not supported.
The same fonts that are supported for your email client are supported when your fax. You can send any message you can email. Xifax accepts plain text messages as well as over 80 attachment types. Most of the most commonly used fonts are supported, however if a font is not available, the closest style font will be selected.
Although a document file type might be supported, fax to email attachments cannot have the following: 1. Email attachments cannot be password protected. 2. Email attachments cannot have embedded macros. 3. Email attachments cannot be processed if it is corrupted nor has a virus.

Successful deliveries are sent immediately after Xifax receives the transmission confirmation from the receiving fax machine. The standard retry schedule allows for a fax to be attempted six times with 5-minute intervals, meaning a user could wait up to 35 minutes to receive a non-delivery confirmation. Also, note that international transmissions and documents with many pages or graphics take longer to process than an average-sized business fax.

If a user is confident that the number is correct then the user can resend the fax by retrieving it from the “sent items” folder. Once it has been retrieved, simply delete any information you do not want to be printed on the cover page and forward the message to the fax number.
Xifax will continue to attempt both in-bound faxes and fax confirmations for 24 hours. If you are not receiving confirmations please first check your email is working and if it is working okthen please contact us from your email address.
Spam Fax Filter
If a spam fax is sent to your Xifax fax number, the fax is routed through Xifax's Internet Fax service that includes the new patent-pending Junk Fax Filter. This filter is designed to immediately detect the spam fax using technology that was developed by analyzing over three million junk faxes. When this spam fax is sent to your email address, it now includes a subject line: "Junk Fax:". This will enable the fax to be filtered by either your mail server email spam software or a desktop email client filter or rule.
There is no separate sign-up process for this feature as all Xifax customers automatically benefit from this service upon signing up.
Currently, there is no fee associated with this service.
Xifax Junk Fax Filter is on 24/7 and can not be turned off.
You do not need additional software to take an advantage of this service.
Although our electronic detection system can usually discern junk faxes from solicited faxes quite accurately, there is no substitution for human inspection. Since the faxes are not inspected by humans, the possibility of a junk-fax slipping past exists.
If you receive a fax that has not been labeled as spam but is really a spam fax (false negative), forward the fax and all its attachments to reportspam@xifax.com. Please add the words "False Negative" to the subject line of your email. Although our electronic detection system can usually discern junk faxes from solicited faxes quite accurately, there is no substitution for human inspection. Since the faxes are not inspected by humans, the possibility of a junk-fax slipping past exists.
If you receive a fax that has been labeled as spam but isn't really a spam fax (false positive), forward the confirmation containing the fax ID number to reportspam@xifax.com. The fax ID can be found in parentheses at the bottom of your confirmation, for example: {e2bb9c23-0d1a-4afe-853e-cd827ae2381e}. Please add the words "False Positive" to the subject line of your email.
If your mail server or email client has an email spam feature with a subject line filter, we recommend you route all possible junk faxes to the Email Spam Folder or alternatively set up a Junk Fax Folder by filtering the subject key word: "Junk Fax:" for email addresses @xifax.net. Creating a Junk Fax Folder is beneficial to ensure that no legitimate faxes are being mislabeled as junk faxes.
Currently, in the subject field of your incoming faxes through the email enabled faxing service, you should see the code "Junk Fax:" which indicates the incoming fax may be a spam or advertisement. You can create a rule using the rule wizard to automatically send those incoming faxes tagged as "Junk Fax:" to a folder you create called "Junk".
The cost of receiving a spam fax is the same as the cost of receiving legitimate faxes as they are processed in the same manner. However, there is no additional charge for use of the Xifax Junk Fax Filter, which saves you time and money by labeling junk faxes and allowing you to automatically block them or route them to a junk fax folder.
Our fax system recognizes characteristics of spam faxes using a patented technology. Using our Junk Fax spam faxes are identified and marked with "Junk Fax:" in the heading of subject field.
